Congleton Pride (“Pride”, “the organisation”, “we”, “us”) is committed to protecting your privacy. This Privacy Notice (“Notice”) explains who we are, how we collect, share and use personal data about you, and how you can exercise your privacy rights. This Notice covers information we collect through our website (www.congletonpride.co.uk), and also the information we collect at events or when supporting our local community.

1. What does Congleton Pride do?
Congleton Pride is a charity (Charity Commission Number 1207409) headquartered in Congleton, Cheshire, UK. Congleton Pride supports the LGBTQIA+ community and allies in Congleton and the surrounding areas, provides entertainment and social opportunities, lobbies for the rights of LGBTQIA+ people and helps prevent and report hate crime.
2. What personal data does Congleton Pride collect?
The personal data that we may collect about you broadly falls into the categories described below:
Information you provide voluntarily
We may collect certain personal data that you provide to us voluntarily online through our website, our membership, or through our work (such as through our social events). The personal data you are asked to provide, and the reasons why you are asked to provide it, will typically be made clear to you at the point we ask you to provide your personal data.
Online: If you use our website, there are certain pages that ask you to provide personal data – such as when you indicate you would like to join the organisation, or would like to make a donation to us. When you register on our website or join as a Pride Member, we will ask you for contact information (such as your name and e-mail address), geographic information (such as your address), and other relevant details about you and your interests.
Social events: If you interact with us as part of our events, fundraising, surveying or other activities, (which may be over the phone, by email, online or in person) we will collect the personal data that you volunteer as part of these interactions with us (such as your name, contact details, communication preferences, other demographic information, issues you raise or topics you are interested in).
If you fill in a survey, form or leaflet (for example, delivered by a local Pride representative or through our website) then we will collect the personal data you provide as part of that survey, form or leaflet. We may also collect personal information about you when you offer your services, ask about volunteering, or take part in any Pride activities.
Special Category personal data: Some of the information that you provide to us may be considered special category personal data under applicable data protection laws. For example, information about your LGBTQIA+ status is considered sensitive and as such is classed as special category data under Data Protection legislation. We may collect this information when you voluntarily provide it to us as part of our campaigning, fundraising, surveying and social events. Information that we collect automatically
When you visit our website, we may collect certain information automatically from your device. Some of this information may be collected using cookies and similar tracking technology, as further explained under the heading ‘Cookies and similar tracking technology‘ below.
The information we collect automatically may include information like your IP address, device type, unique device identification numbers, browser-type, broad geographic location (e.g. country or city-level location) and other technical information. Cookies are also used to track anonymously which areas of our website are popular and which are not used as much.
We use this information to better understand the visitors who come to and use our website, where they come from, their journey through our site and what content is of interest to them. In future we may sell products on our website in which case we will track visitors’ spending patterns. If we do this we will use this information for our internal analytics purposes and to improve the quality and relevance of our website and content for our visitors.
Information that we obtain from third party sources
We may occasionally collect personal data when you interact with us on social media sites such as Facebook or Eventbrite, for example when you RSVP to an event, or share a campaign.
3. How does Congleton Pride use my personal data?
In general, we will use the personal data we collect from you only for the purposes described in this Notice or for purposes that we explain to you at the time we collect your personal data. Examples of the way we may use your data include:
- Respond to your requests or provide you with information requested by you
- Better understand views and issues important to you
- Administer offers or applications to volunteer for the organisation or to become, remain or cease being a member
- Conduct fundraising activities
- Manage our websites and services
- Manage and process your membership, if you are or have been a member
- Manage and process your donations
- Tell you about campaigns or events we think might interest you and share it with our representatives for them to do the same (in accordance with your communication and marketing preferences)

If you have provided us with your email, mobile phone number or landline phone number we may use that information to contact you to promote causes and campaigns that we support, such as by sending you an email, online advert, or a text message. We will respect any registration you hold with the Telephone Preference Service (TPS) except where you have opted in to receive phone calls on that number from us. Please review the section headed ‘Right to stop receiving communications’ to find out how to opt out of communications from us at any time.
If you choose to join us as a volunteer or a sponsor, we will need to process your personal data to record that you have given us your support in this way.
4. Who does Congleton Pride share my information with?
We will share data with our third party services provider, MailChimp, to undertake processing operations on our behalf to provide us with a variety of administrative, statistical, advertising and technical services. MailChimp is owned and operated by Intuit Inc. MailChimp is used by organisations across the world. For more information on MailChimp and its privacy practices, please visit its legal terms page.
We will only supply service providers with the minimum amount of personal data they need to fulfil the services we request. We ensure any processors sign a contract with us that clearly sets out their commitment to respecting individual rights, protecting your personal data – including not using it for any purpose other than providing us with an agreed service or fulfilling their legal obligations – and their commitment to assisting us to help you exercise your rights as a data subject.
We will share data with any law enforcement body, regulatory, government agency, court or other third party where we believe disclosure is necessary to comply with the law, to defend our legal rights, or to protect your interests.
Save for the limited circumstances noted above, we will never pass your personal data to any unrelated third parties unless you have given us your permission to do so, for example where you have signed a petition and are clearly aware that this petition will be presented to a third party.
5. Cookies and other similar tracking technology
We use cookies to collect and process personal data about you when you interact with our website. A cookie is a small amount of data that is sent to your browser from a web server and stored on your computer. We use cookies – including analytics cookies provided by companies such as Google – to tell whether a website user has logged-in, where to find details that can be used to pre-fill parts of on-line forms and to personalise the user’s visit to the website.
Internet browsers normally accept cookies by default; however, it is possible to set a browser to reject cookies. By modifying your browser preferences, you have the choice to accept all cookies, to be notified when a cookie is set or to reject all cookies.

6. Legal basis for processing personal data
Congleton Pride is a registered charity (1207409); our work is designed to promote our values and to engage people.
We may continue to process your personal data even if you decide to cancel your membership or opt-out of receiving information from us. We will do this under Article 6 1f processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data.
If however you wish us to stop processing your personal data at any point please get in contact with us on the details below and we will consider your request.
There may be situations where we are only processing your personal data with your consent, for example if you reply to a survey but are not a member or supporter, or if you have asked us to look into a specific personal situation for you. If this is the case, we will only process your personal data for that purpose and if you wish at any point for us to stop processing your data and delete it, then you just have to let us know. 7. How we protect your personal data
We take appropriate physical, electronic, technical and managerial measures to ensure that we keep your information secure, accurate and up to date, and that we only keep it as long as is reasonable and necessary.
Mailchimp is ISO27001 certified.
Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. If you want to send us information which you feel is highly sensitive then you can email the information on a document, password protected, and send us the password on a separate email. If you would like us to respond in the same way, please let us know.
8. International data transfers
Please note that some of our service providers are based outside of the European Economic Area (the “EEA”). For example, our service provider MailChimp is owned and operated by Intuit Inc. a corporation headquartered in the United States. Where we transfer your data to a service provider that is outside of the EEA we seek to ensure that appropriate safeguards are in place to make sure that your personal data is held securely and that your rights as a data subject are upheld – we do this by ensuring that the agreements between us and our chosen service providers contain clauses that oblige them to treat your personal data as if they themselves were based in the EEA.
9. Third Party Sites
We may provide options to share content on social media which may result in your being directed to the social media network’s own systems. If you proceed with this, those networks may gather personal data about you in line with their own privacy policies.
You should be aware that if you access other websites, using any links we provide on our website or otherwise, these are outside our control. If you provide personal data to other companies, the privacy policies of those companies determine the uses to which that information is put, and Congleton Pride Privacy Notice will no longer apply.
10. Data retention
We only keep your personal data for as long as required to meet the purposes set out in this Notice, unless a longer retention period is required by law.
We will process your personal data whilst you are a member and/or supporter and for up to six years afterwards – this is to align with election time periods and to enable us to do things such as respond effectively to grievances that may arise after you cease to engage with us.
We may also save personal data for archiving purposes in the public interest, including historical research.
If you want us to discontinue processing your data we will always consider your request, even if legally we don’t have to, you can contact us using the contact details provided under the ‘Contact Us‘ heading below.
11. Your data protection rights
You have the following data protection rights:
If you wish to access, correct, update or request deletion of your personal data, you can do so at any time by contacting us using the contact details provided under the ‘Contact Us‘ heading below.
In addition, you can object to processing of your personal data, ask us to restrict processing of your personal data or request portability of your personal data. Again, you can exercise these rights by contacting us using the contact details provided under the ‘Contact Us‘ heading below.
You have the right to opt-out of receiving communications we send you at any time. Please see the section below headed “Right to stop receiving communications” for further information.
If we are processing your personal data with your consent, then you can withdraw that consent at any time. Again, you can exercise these rights by contacting us using the contact details provided under the ‘Contact Us‘ heading below.

When you contact us making a request to exercise your rights we need to make sure that the request is coming from the right person and may ask you to provide copies of relevant ID documents to help verify your identity.
12. Right to stop receiving communications
Wherever possible, we will provide you with a choice about how we can contact you to share information about Congleton Pride. You can opt out of communications at any time by following the instructions below. It may take several days for requests submitted this way to become effective on our systems.
If you provide us with your email address and indicate that we may do so (e.g. by subscribing to an email distribution list or by joining as a Pride Member) we and our representatives may send you further information about Congleton Pride in the future. These communications will take the form of e-mails promoting us and our work and include information related to our campaigning and fundraising activities. We also occasionally ask our subscribers and members to complete surveys for research purposes.
You can request that you cease to receive this kind of communications from us at any time. The easiest way to do so is to use the unsubscribe link provided at the bottom of any email messages that we send to you. You can also do so at any time by emailing us at hello@congletonpride.co.uk. It may take several days for requests submitted this way to become effective on our systems.
SMS Messages
If you provide your mobile phone number, we may call or send you text messages if you have given us permission to do so. You may request to stop receiving SMS messages at any point. You can stop receiving SMS text messages by following the instructions to opt out provided within that text message. You can also do so at any time by emailing us at hello@congletonpride.co.uk. It may take several days for requests submitted this way to become effective on our systems.
Post and Telephone
We may contact you by post or telephone using information provided to us for the purposes of informing you of our activities. We will respect any registration you hold with the TPS except where you have opted in to receive communications from us. Further, even if you are not on the TPS register you may ask us to stop making calls to you by telling one of our operators when we call you.
Please note that this right to stop communications does not apply to emails that we send to you that are a necessary part of our providing a service to you (such as messaging you about your status as a member or a volunteer) or our notifying you about how your personal data is being used.
13. Updates to this Notice
We may update this Notice from time to time in response to changing legal, technical or business developments. When we update our Notice, we will take appropriate measures to inform you, consistent with the significance of the changes we make. We will obtain your consent to any material Notice changes if and where this is required by applicable data protection laws.
